The short version. We're a family-owned body shop, not a data company. We collect what we need to fix your car, handle your claim, and keep you posted on the work. We don't sell your information. We don't share your phone number with marketers. That's the whole policy in four sentences, but the rest is spelled out below so there's no guesswork.
What we collect.
You give us:
- Name, phone number, email address, and mailing address
- Vehicle information (year, make, model, VIN, license plate, mileage)
- Insurance carrier, policy number, and claim number
- Photos of your vehicle and its damage
- Payment and billing information
- Anything else you send us in a message, form, or email
We collect automatically when you use the site:
- IP address, browser type, and device type
- Pages viewed and time spent on the site
- Referring website
- Cookie and similar tracking data
We may receive from others:
- Estimate, appraisal, and claim documentation from your insurance carrier
- Repair history or vehicle data from parts suppliers, OEM databases, or estimating platforms
Why we collect it.
- To evaluate damage, write estimates, and perform repairs
- To communicate with you about your vehicle, your appointment, and your repair status
- To file, document, negotiate, and supplement insurance claims on your behalf
- To process payments and issue invoices
- To arrange towing, rental, parts ordering, and sublet work
- To meet Texas record-keeping, warranty, and lien requirements
- To improve the website and understand how people find us
We do not use your information for anything unrelated to the repair of your vehicle or the operation of our shop.
Text messaging. Read this part.
We use text messaging to communicate with customers because it's faster than phone tag. Here's exactly how it works.
You opt in to text messages by giving us your mobile number on a repair authorization, an estimate request, a website form, or by texting our shop number directly. Consent to receive texts is not a condition of any purchase, repair, estimate, or service. You can decline texts and still be a customer with no difference in service.
What we'll send.
Repair status updates, estimate and supplement notifications, appointment reminders, questions about your vehicle, photo requests, ready-for-pickup notices, invoice and payment messages, and occasional service or promotional messages from Extreme Hail & Collision.
How often.
Message frequency varies. It depends on your repair, your claim, and how much back-and-forth is needed.
Cost.
Message and data rates may apply. Those charges come from your mobile carrier, not from us.
How to opt out.
Reply STOP to any message at any time. You'll get one final confirmation message, and then we'll stop. You can also tell us in person, over the phone at (469) 777-6701, or by email at contact@extremehailcollision.com. If you opt out, we'll still reach you by phone or email about your repair.
How to opt back in.
Reply START or UNSTOP, or just ask us.
How to get help.
Reply HELP to any message, or call the shop at (469) 777-6701.
Carriers.
Mobile carriers are not liable for delayed or undelivered messages.
We do not sell or share mobile information. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are never shared with any third party, and this exclusion applies to all of the sharing described elsewhere in this policy. Information may still be shared with the service providers that actually deliver our messages, and with no one else.
Who we share information with.
We share only what's necessary, and only with:
- Your insurance carrier and its adjusters or appraisers, to document and settle your claim
- Parts suppliers, sublet vendors, towing companies, and rental agencies, to complete your repair
- Payment processors, to run your transaction
- Software and communications providers, including our estimating platform, shop management system, and text messaging provider, so the tools we use every day can function
- Attorneys, accountants, and insurers, when we need professional or legal advice
- Government agencies or courts, when the law requires it or when we need to enforce a lien or defend a claim
We do not sell your personal information. We do not rent it. We do not trade customer lists. And as stated above, mobile numbers and text consent stay out of every one of these arrangements except the messaging provider that delivers the texts.
Cookies.
Our site uses cookies and similar tools to keep the site working and to see which pages people actually read. You can turn cookies off in your browser settings. Some parts of the site may not behave correctly if you do.
How long we keep it.
We keep repair records, estimates, photos, invoices, and claim documentation for as long as your lifetime workmanship warranty runs and for as long as Texas law and our insurers require. After that, we dispose of it securely. Some records, including claim files and payment history, may be retained longer where a dispute, lien, warranty question, or legal obligation makes it necessary.
How we protect it.
We use reasonable physical, electronic, and procedural safeguards to protect your information, and we limit access to the people who need it to do their jobs. No system is perfect, and we can't promise absolute security, but we take it seriously.
Your choices.
- Texts. Reply STOP, or tell us. See the messaging section above.
- Email. Use the unsubscribe link, or ask us to take you off the list.
- Access and correction. Ask for a copy of the information we hold about you, or ask us to correct it.
- Deletion. Ask us to delete your information. We'll honor it unless we're required to keep records for warranty, tax, lien, insurance, or legal reasons.
Texas residents may have additional rights under the Texas Data Privacy and Security Act. To exercise any of these, contact us using the information below. We'll respond within the time the law allows.
Children.
Our services and this website are for adults. We don't knowingly collect information from anyone under 13. If we learn we have, we'll delete it.
Third-party sites.
Our site may link out to insurance carriers, review platforms, or other businesses. Once you leave our site, their privacy policy applies, not ours. We don't control what they do with your information.
Changes to this policy.
If we change this policy, we'll post the updated version here with a new effective date. Material changes to how we handle text messaging will be posted before they take effect.
